IMPORTANT NOTICE – EVENT INDUSTRY SCAMS

It has been brought to our attention that a few of our exhibiting companies are being contacted by third parties claiming to represent ACMA and/or our conference. Please note the following:

  • ACMA does not utilize housing services, travel agencies/discount travel related organizations, audio-visual companies, mailing list providers, etc.
  • Although your company name is listed on our event website, ACMA does not distribute contact information for employees of our exhibiting companies to anyone other than the official event management contractor (Freeman).
Be aware that these companies are often running scams that are designed to obtain your personal details and credit card information. We recommend that you do not give these companies your credit card number, personal information, and/or any details about your hotel reservations and/or exhibit booth.

If you are contacted by any company claiming to represent ACMA and/or our conference, please ask for the company name and phone number and report the incident immediately to ACMA by calling (501) 907-2262.

If you have questions or do not see your company listed, please contact ACMA at 501-907-2262.

PLEASE NOTE: If you were assigned a temporary booth number by ACMA, you do not need to take action. ACMA will ensure that your permanent booth number is communicated to Freeman and they will connect both the temporary booth number and your permanent booth number to your account.

BOOTH PACKAGE

ACMA provides each exhibiting company with a standard 10x10 booth package that includes:
  • 8' high black back drape
  • 3' high black side dividers
  • your choice of (1) 6' x 30" black draped table or (1) 6' x 42" black draped counter
  • (2) side chairs
  • (1) wastebasket
  • 7" x 44" one-line identification sign. 
If you have purchased a booth that is larger than 10x10, please contact bnations@acmaweb.org to discuss your furnishing needs. The exhibit hall is not carpeted. Carpeting is not required but you do have the option of renting carpet through Freeman. ___________________________________________________________________________

EAC / NON-OFFICIAL CONTRACTOR FORM

If you plan to utilize an EAC/Non-Official Contractor to provide services (installation and dismantling labor, equipment rental, etc) which will require access to your booth during move-in and move-out, you must submit the EAC Form and Certificate of Liability Insurance to ACMA by March 30, 2018.

PLATINUM BREAKOUT SESSIONS

We ask that our Sponsors & Exhibitors exercise professional courtesy and not attend Platinum Breakout Sessions without an invitation to do so from the presenting Platinum company.

EXHIBITOR MOVE-IN AND MOVE-OUT PROCEDURES FOR COMPANIES WHO ARE NOT SHIPPING MATERIALS THROUGH FREEMAN:

Exhibitors can drop off equipment/product behind the building in the loading docks area. Entrance Gate is behind the GRB (Across from Hall B) off of Chartres Street and is also across from Walker Street.

At the Entrance Gate, there is a Security guard that will need to write down your license plate and take a cell number before entering the GRB loading dock area/parking area. Exhibitors will receive a 45min unloading parking pass for the windshield for those who need to park close to the GRB loading docks to off load large equipment.

Move-in and Move-out days there is no charge to park behind the GRB Exhibitor Lot (Lot 4). During show days the cost is $10 per day to park a vehicle behind the GRB Convention Center. First come first serve. If the lot fills up, exhibitors will have to park in the surrounding areas around the Convection Center.

This is for removal of materials NOT being handled by Freeman. We recommend you plan to tear-down immediately after the conclusion of lunch to avoid any mishandling of materials as the exhibit hall is cleared. Your third-party contractors can have access to the exhibit hall for teardown until 9:00 pm.
5:45 pm – 7:30 pmCLOSING PARTY
We invite you to join us at the Closing Party where we’ll unveil the location of our 2019 Conference. This is also an excellent opportunity to network with our conference attendees away from your booth.
